REPORTING TEMPLATE

AI Visibility Report Template: Metrics, Evidence, and Actions

An AI visibility report should tell a decision-maker what was measured, what changed, how strong the evidence is, and what the team will do next. This eight-part AIsee-aligned structure keeps diagnostics, answer observations, citations, and business outcomes distinct.

Quick answer: Use an eight-part report: scope and method, executive summary, dated AIsee diagnostics, controlled answer observations, citation and accuracy evidence, business outcomes, an owned action register, and explicit limitations. Every rate needs its prompt-panel version, denominator, surfaces, dates, and sample size. AIsee supplies a dated website diagnostic and action-planning input; recurring public-answer observations and analytics remain separate evidence streams. Copy the table and CSV header below, preserve raw examples, and keep limitations beside conclusions.

Define the decision the AI visibility report must support

An AI visibility report is a decision document, not a gallery of favorable screenshots. It should answer four questions: what was measured, what material change or risk was observed, how reliable the evidence is, and what action has an owner.

Start by naming the audience. An executive needs the decision, risk, and business implication. A content owner needs the affected prompt cluster and URL. A technical owner needs access, rendering, indexing, or structured-data evidence. A measurement owner needs the full protocol and denominator. Use one report with progressive detail rather than separate numbers that cannot be reconciled.

Keep the report distinct from an audit. The AIsee visibility audit is a dated diagnostic covering AI Presence, Competitor Landscape, Strategy Review, provider rows, and an Action Plan. A recurring visibility report may place that snapshot beside separately collected prompt observations, source reviews, and analytics, but it must not relabel the AIsee values as mention rate, citation rate, SOV, traffic, or conversion.

Declare scope and method before presenting a percentage

Put the measurement contract near the beginning. Record the reporting period, brand entities and aliases, products, markets, languages, AI providers and surfaces, prompt-panel version, intent mix, number of prompts, runs per prompt, login or personalization conditions when known, reviewer rules, and evidence-retention period.

Every percentage needs a numerator and denominator. For example, brand mention rate = eligible responses mentioning the brand / all eligible responses × 100. An owned-citation rate uses eligible answers with an owned displayed URL. Formal AI share of voice uses qualifying brand mentions divided by all qualifying competitor mentions in the declared universe. These are different metrics.

List material protocol changes. Adding purchase prompts, changing a market, replacing a provider surface, or revising the competitor set can move a rate without any change in brand evidence. The NIST AI RMF Measure playbook states that documenting test sets, metrics, processes, and tools enables repeatability and consistency. Use a frozen core panel for comparison, report exploratory questions separately, and link to the approved prompt-panel record.

Write an answer-first executive summary

Lead with the decision, not the data dump. A useful summary contains the reporting scope, two or three material findings, the strength or limitation of the evidence, the highest-risk accuracy issue, and the next owned actions.

Use qualified language. “In the frozen 30-prompt comparison cohort, accurate brand mentions increased across two of four repeated observations” is reviewable. “AI visibility surged” is not. If the panel or run count changed, say so before comparing percentages. NIST AI 800-3 distinguishes fixed-benchmark performance from generalized performance and emphasizes evaluation uncertainty; apply that boundary to every panel conclusion.

Separate signals in the summary:

  • AIsee diagnostics answer what the team should investigate next.
  • Answer observations show what appeared in the declared prompt panel.
  • Citation and accuracy review show whether the representation is supported and safe.
  • Business outcomes show observable referrals, engagement, conversions, or sales evidence.

Platform reports also have their own definitions. Bing AI Performance reports supported citation activity, cited pages, and grounding-query phrases, but explicitly says those data do not measure ranking, authority, importance, traffic, or the cause of a change. Keep each source labeled and do not claim that one layer caused another.

Copy the table into a document, spreadsheet, or reporting system. Keep field names stable between periods so reviewers can compare evidence rather than relearn the format.

Attach evidence that a reviewer can inspect

The report body can be concise only when the appendix is strong. Preserve each material observation with prompt_id, panel version, exact prompt, provider surface, market, language, date, run number, complete answer, displayed URLs, brand labels, accuracy review, reviewer, and notes.

For citation findings, store the cited URL and nearby answer claim. A visible link does not by itself support the brand statement. Classify whether the source is owned, independent, authoritative for the claim, current, and directly supportive. The AI citation tracking guide provides a compatible record.

For accuracy, compare material answer claims with a governed brand-fact register. Record the canonical source, owner, effective date, and next review date. Keep screenshots when layout or prominence matters, but also save structured text and URLs so the evidence remains searchable.

For platform and outcome data, preserve the exported dimension names and source definitions. Google's Generative AI performance report documentation defines its own search-performance view, while Google Analytics traffic-source documentation distinguishes user, session, and event scopes. Do not merge them into one unlabeled acquisition metric.

Include representative wins, losses, and uncertain cases rather than selecting only favorable answers. Remove personal or confidential information, document exclusions, and retain “uncertain” when the evidence does not support a forced label.

Convert findings into an owned action register

A report without ownership becomes an archive. For each accepted finding, record the evidence reference, business relevance, target URL or system, proposed action, supporting source, owner, priority, due date, validation protocol, and status.

Use action categories that reveal the intended change:

  1. Correct an inaccurate or conflicting entity fact.
  2. Clarify an existing answer with scope, limitations, and direct language.
  3. Support a material claim with primary evidence, method, or date.
  4. Connect an isolated canonical page through crawlable internal links.
  5. Create a page only for a distinct and validated audience need.
  6. Investigate when the current sample is insufficient for a change.

AIsee Action Plan items can seed this register. Review the suggested task, difficulty, current and expected score fields, and status, then add the human owner and validation method. An expected-score field is a planning signal, not a forecast or guarantee. The GEO audit checklist can supply page-level verification steps.

Run reporting QA and choose a defensible cadence

Before distribution, confirm that every chart and percentage has a public label, numerator, denominator, period, and sample size. Verify that source URLs resolve, cited pages support nearby claims, representative examples are preserved, aliases are normalized, formulas are stable, and each limitation is adjacent to the conclusion it bounds.

Check product truth. AIsee diagnostics must retain their report names and dates. Recurring observations, scheduled prompt execution, public-answer capture, analytics integration, and formal SOV calculations remain separately governed inputs unless later first-party product evidence establishes a different boundary. No diagnostic or reporting workflow guarantees results.

Set cadence by decision need and volatility. A monthly core-panel review and quarterly strategy review may be practical for some teams, while a product launch, material factual error, migration, or crawler-policy change can trigger an additional check. Consistent conditions matter more than frequency.

Version the template when fields change and annotate the comparison series. End every report with the next review date and unresolved evidence questions. A trustworthy AIsee visibility report makes uncertainty visible, preserves what another reviewer needs, and directs attention toward actions the organization can actually govern.

Frequently asked questions

What should an AI visibility report include?

Include scope and method, an executive summary, dated AIsee diagnostics, controlled answer observations, citation and accuracy evidence, observable business outcomes, an owned action register, and explicit limitations.

Is an AIsee report the same as a recurring AI visibility report?

No. AIsee provides a dated multi-provider diagnostic and Action Plan. A recurring report can use that baseline while adding separately collected prompt observations, source reviews, analytics, implementation records, and later comparisons.

Can an AI visibility report use one overall score?

It may show a product diagnostic when clearly labeled, but it should not collapse mentions, citations, accuracy, SOV, referrals, and conversions into one unexplained percentage. Keep the evidence layers separate.

How often should AI visibility be reported?

Choose a cadence that supports decisions and reliable repeated samples. Many teams can use a stable scheduled review plus event-triggered checks after material product, content, technical, source, or policy changes.
